You and your Information Technology provider - are you SYMPATICO?


Shameless plug here. Using SSIMail is, let's face it, a HUGE timesaver and a HUGE dollar saver!


With that said, are you and your IT on the same page?


Your user name and password for your email account is also set up and stored in the SSIMail set-up screen. What your IT provider, and you, might not realize is that changing an email address or email password can have a huge impact on your SSIMail functionality. If you or your IT provider change your email password for outgoing email, that change will also have to be updated in the SSIMail set-up screen. Any time an email address or password is changed for a user (or users) the SSIMail side of things must be updated.


Case in point. Say your IT provider has set email access to require a new password change after a certain number of (say 90) days, or has changed your email address. Although this actually has nothing to do with SSI, it is strictly related to email protocol (security, etc.) set by the IT department - it does affect SSIMail. SSIMail is tied to the email address for the sender (most times the JIB person and/or Revenue person) and that email address and password is part of the SSIMail set-up dialog screen.


If you or your IT provider change email addresses, invalidating an existing email address, guess what happens? Yep.. if you're using that email address to send your SSIMail emails, your emails will no longer get sent to your recipients.


Any time email address and/or password has changed, don't forget to verify/change in SSIMail set-up screen. The SSIMail piece hooks to the valid email address - in Microsoft Outlook, or Gmail, or whatever platform you use for emails. Makes a lot of sense when you think about it..right? But SSI gets calls all the time for problems sending emails. The first question we ask? Has anything changed on your email? New email address? Changed password on existing email address? This is often the problem when emails won't send.


So how do you change email address or update password? It's EZ. From the SSIMail tab at the top of the SSI main menu screen select Mail Processes from the drop down. Then select the Setup tab (top of the sub screen). What's important? The 'Sent From' and 'Reply To' email addresses, which must of course be valid email addresses. If an email address for a user is changed, update it here in SSIMail as well.


Same way with the Password. If there is a password attached to the email address, the new password needs to be entered in the Password box.


The next time you're trying to send emails and they won't send, try a little internal reconnaissance. Did something change with your email protocols? It makes a big difference.
